This article shows you how to share a template with a user in a different organization and what happens when they accept — they get their own clean copy with no ongoing link back to yours.
What sharing does
Sharing sends a single-use link to someone outside your organization. When they open the link and accept, Templified makes a full copy of the template in their account — layers, groups, and all. Your original template is unchanged, and there is no ongoing connection between the two copies once the transfer is complete.
The link can be used exactly once. After someone accepts, the link is deactivated and anyone who tries to use it again will see a "Share link unavailable" message. Links that are never used expire after 30 days.
Generate a share link
- Open the Templates tab.
- Hover over the template card and click the … (three-dots) menu, or right-click the card to open the context menu.
- Click Share with…
- The Share with another org dialog opens and generates a link automatically.
- Click Copy to copy the link, then send it to the recipient — by email, chat, or any other channel you prefer.
The dialog shows the expiry countdown (for example, "Expires in 30 days"). If you need a fresh link at any time — for example, if you accidentally shared the first one — click Regenerate to create a new one. Regenerating does not deactivate the old link immediately, but the old link will still expire on its original 30-day schedule.
What the recipient sees
The recipient must have a Templified account and be signed in to a different organization. When they open the link, they see a preview page showing:
- The template name and thumbnail
- The canvas dimensions
- Which organization it came from
- A folder picker so they can choose where to put the copy
They select a folder, then click Accept share. Templified copies the template into their account and opens it directly in the editor.
What gets copied
Accepting the share creates an independent copy in the recipient's organization. The copy includes:
- All layers and layer groups
- The template thumbnail
- A second page, if the template is a two-page template
The recipient's copy is theirs to edit, rename, publish, and use freely. Any future changes you make to your original template do not affect their copy, and vice versa.
Link expiry and reuse
| Situation | Result |
|---|---|
| Link opened before expiry, not yet accepted | Preview shown; recipient can accept |
| Link accepted | "Share link unavailable" — link is used up |
| Link opened after 30 days without being accepted | "Share link unavailable" — link has expired |
| Template deleted before recipient accepts | "Share link unavailable" — template no longer exists |
If a link expires or is used up and you need to share the template again, open the Share with… dialog and generate a new link.
