This tutorial shows you how to bring teammates into your Templified organization — by email invitation, by shareable link, or by approving a join request — so they can access your templates and designs.
Who can invite
Only the organization Owner can send invitations, generate invite links, and manage pending requests. Admins and Designers do not see the invite controls in Settings.
Invite a teammate by email
- Go to Settings → Members.
- In the Invite Members card, type the teammate's email address into the Email address field.
- Click Invite (or press Enter).
Templified sends the invitee a branded invitation email with a personal accept link. The link is single-use and tied to that address — it cannot be forwarded to a different account.
Generate a shareable invite link
If you want to invite several people at once without knowing every email address, generate a link instead.
- Go to Settings → Members.
- Click Generate invite link.
- The link is copied to your clipboard automatically. Share it however you like — messaging app, email thread, a team channel.
Anyone who clicks the link and is signed in to Templified will join your organization as a Designer. If they don't have an account yet, they'll be prompted to create one first.
What the invitee sees
When a teammate clicks an invitation link — whether from the branded email or a shared link — Templified accepts the invitation automatically and redirects them to the dashboard. A confirmation screen reads "You're in!" and shows the organization name they've joined. They receive a welcome email confirming their membership.
If the invitee needs to sign in or create an account first — including signing up with Google — their pending invitation is held onto through the whole sign-in process. Once they're signed in, Templified surfaces it for them with a clear Join [organization name] prompt, then drops them into the right organization's onboarding. They won't get stuck on a stale or already-used invite screen, and they won't accidentally land in a separate, empty organization of their own.
Managing pending invitations
Both email invitations and generated links appear under Pending Invitations in the Invite Members card. Email invitations show the recipient's address; link invitations appear as Invite link.
To cancel an invitation before it's accepted, click the trash icon next to it. The link or email token is invalidated immediately — anyone who tries to use it after that will see an error.
Join requests (domain-matched accounts)
If your organization has a verified domain configured, Templified users whose email address matches that domain can request to join without an invitation. When someone submits a request, the organization owner receives a notification email with a link to Settings.
Pending requests appear in a Pending Join Requests card in Settings → Members (visible only when requests exist). For each request you'll see the person's name and email. Click Approve to add them as a Designer, or click the × button to deny the request.
Roles assigned on join
Everyone who joins via an invitation or join request is added as a Designer. Once they're in, the owner can change their role from the member list. Available roles are:
| Role | What they can do |
|---|---|
| Owner | Full access including billing, API keys, and member management. One per organization. |
| Admin | Can manage integrations (Dropbox, webhooks, GFcrew) and send-to presets. Cannot access billing or API keys. |
| Designer | Can create and send designs. Default role for all new members. |
To change a member's role, click the ⋯ menu next to their name in the member list and choose a new role from Change role. Demoting an Owner requires confirmation because it removes their access to billing and member management.
Removing a member
To remove someone from the organization, click the ⋯ menu next to their name and select Remove. A confirmation dialog appears — click Remove to confirm. Their access is revoked immediately. You can re-invite them later if needed.
